Terms and Conditions

Welcome to Darlington Pilates. We're here to look after you; our priority is your wellbeing of your body and mind. We are so excited to share with you the joy and ease that comes from regular care of your physical and mental health. Your sessions are your time out from the busy world to allow you to focus on your wellbeing. With our monthly membership, you have committed to taking care every week of your physical and mental health.

Our monthly membership is designed to give you the easiest possible way to take care of yourself every week. By showing up every week, you are going to feel the difference Pilates makes to your life.

Take some time to read our terms and conditions below, which will help you make the most of your membership and enjoy your classes. 

Looking at the View

1. Membership & Payments

  • Membership is billed via direct debit on the 1st of each month.

  • If joining mid-month, the first payment will be a pro-rata amount for that month. Subsequent payments will revert to the standard monthly rate.

  • The membership fee is calculated based on 36 classes per year, divided into 12 equal monthly payments for consistency.

  • Members receive priority booking over drop-in customers and can opt to auto-reserve a space in their preferred weekly class, subject to availability.

2. Class Scheduling & Availability

  • Membership includes 12 sessions per term (Autumn, Spring, Summer), totalling 36 sessions annually.

  • Classes are scheduled primarily during school term time, as most teachers take holidays during August, Christmas, and Easter.

  • If a class is cancelled by Darlington Pilates, a suitable alternative or catch-up session will be offered where possible.

3. Late Cancellations & No Shows

  • Classes can be cancelled but must be done at least 24 hours in advance by logging into the booking site and removing yourself from the class using the website or app.

  • If you email a cancellation request, we will do our best to process it, but staff may not see it in time. To avoid a late cancellation, you can easily manage your booking yourself via the app or website, as this immediately frees up the space for others. You can log in to your members page at www.darlingtonpilates.co.uk and click ‘Already A Member’. 

  • Failing to attend a booked class without cancelling in advance is classed as a 'no show' and will still count as one of your 36 sessions, as will a late cancellation.

4. Missed Classes & Catch-Up Policy

  • If a session is missed, one class per month may be carried over and taken the following month, provided the original class was correctly cancelled in advance as per the late cancellation policy.

  • For example, if you have a two-week holiday booked, you can take one catch-up class before your break and one after, subject to availability.

  • Live online classes are also available as an alternative, allowing you to continue your practice while travelling or unable to attend in person.

  • Up to five sessions may be taken in a single calendar month to provide flexibility for catch-ups when needed. This system relies on fairness and is used responsibly by most members.

  • The option to take up to five sessions in a month is only available when you have missed sessions from your regular weekly class to make up. If additional classes are taken regularly without missing your usual session, you will use up your 36-class allowance early. Once you have reached your annual class limit, you will be unable to attend any further sessions—including your regular weekly class—until the anniversary of your membership, when your next 36 sessions become available.

  • If this pattern continues, we will discuss it with you. Continual misuse of this policy may result in the termination of membership.

5. Cancellation Policy

  • Membership can be cancelled with written notice at least 10 days before the end of the month.

  • Direct debits begin processing on the 25th of the month; cancellations received after this date will take effect the following month.

  • Once processed, payments are non-refundable.

  • Once membership has been cancelled, any unused classes cannot be carried over or redeemed.

6. General Terms

  • Membership is non-transferable and applies only to the individual registered.

  • Darlington Pilates reserves the right to adjust class schedules, instructors, and policies as needed.

  • By enrolling, members agree to these terms and conditions.

 

7. Health & Safety

  • Members must inform instructors of any new injuries, medical conditions, or changes in health before attending class.

  • Participation is at the member’s own risk, and Darlington Pilates is not liable for injuries sustained during classes.

  • Members should seek medical advice before joining if they have any health concerns.

 

8. Changes to Membership Fees & Terms

  • Darlington Pilates reserves the right to update membership fees and terms with reasonable notice. Fees increase in line with inflation on 1st September.

9. Personal Belongings & Liability

  • The studio is not responsible for lost, stolen, or damaged personal items.
